Abstract

The rapid advancement of information and communication technology (ICT) has fundamentally transformed archival management practices within educational institutions. This study aims to examine the optimization of electronic archive systems in enhancing administrative efficiency and strengthening educational governance. Employing a qualitative approach based on an extensive literature review, the study critically analyzes key concepts, system frameworks, and regulatory dimensions associated with the implementation of electronic archival systems. The findings indicate a significant transition from conventional manual record-keeping to integrated digital systems, resulting in improved data accessibility, operational transparency, and long-term sustainability of institutional records. Such transformation is essential, as effective electronic archive management not only enhances institutional responsiveness and decision-making processes but also aligns with the evolving demands of modern education systems. Furthermore, the adoption of ICT-driven archival practices contributes to the development of digital literacy among stakeholders, ensures secure and continuous access to academic records, and supports broader institutional accountability. Importantly, these advancements are closely linked to the achievement of the Sustainable Development Goals (SDGs), particularly Goal 4 (Quality Education), which emphasizes inclusive and equitable education, and Goal 16 (Peace, Justice, and Strong Institutions), which highlights the importance of transparent, accountable, and effective governance. In this context, the integration of electronic archive systems serves as a strategic mechanism for fostering innovation, improving service delivery, and strengthening institutional resilience. Therefore, educational organizations are required to adopt proactive and adaptive strategies in leveraging ICT to remain relevant, competitive, and sustainable in an increasingly digital and data-driven environment.
